Role as Official Travel Manager

Seasons & Vacations is in a position to offer the following services as official travel manager:

Airport/Station Facilitation

Seasons & Vacations would set up a 24 hours facilitation desk at the Airport and Railway station. Key areas in facilitation:

  • Handing over information brochure to each delegate.
  • Information regarding hotel accommodation to be conveyed to each arriving delegate.
  • Attach baggage identification tags of the concerned hotels and put identification tags on delegates’ luggage to ensure baggage is correctly delivered.
  • We will be using coaches for transportation between airport/station and hotels. These coaches will be parked in the coach parking area of the airport/station.
  • Every coach would have an escort with walkie-talkie communication system to coordinate the movement of coaches.
  • Transfer to hotels will be in coaches, hotel-wise.
  • Stand by coaches will be provided in case of break down with a standby mobile break down squad the walkie-talkies.
Communication systems

We will have public address/car call system at the venue.

We will have walkie-talkie/Mobile Phones communication system at the airport/station and with the escorts of coaches for an easy co-ordination of the movement of coaches/cars for airport transfers and shuttle services.

The schedule of shuttle services, tours and social functions will be displayed at all conference hotels.

Transport Service

Daily coach movement schedule for shuttle service between hotels to venue and back will be displayed at all facilitation counters located in the conference hotels. All coaches would have conference stickers and the hotel name prominently displayed.

A transport desk would be up at the conference venue to coordinate the movement of coaches with the hotel facilitation counters and the coach escorts to ensure no delegate is missed.

Transportation will be provided for social functions from each conference hotel for the cultural programmes and gala welcome dinner. Coaches would leave from all hotels 30 minutes prior to the time scheduled for the social programmes.

Pre and Post Conference Tours

Seasons & Vacations Travel are in the position to organise pre and post tours to different destinations of tourist interest in and around the host city.

Spouses and accompanying persons programme.

Shopping tours exploring the handicrafts and souvenirs of the city would be arranged by Seasons & Vacations.

Ticket Bookings and Reconfirmations

A network would be established with the local Travel agencies of high repute, for the facilitation of the bookings of tickets and their reconfirmation.
